Why Daily Operations

The tool is divided into two connected sides: the Employee Operations Side and the Owner Operations Side. Both work from the same information, but each is designed around the responsibilities and permissions of the person using it.

The purpose of Grace Daily Operations is to create a consistent opening and closing process, reduce mistakes, document discrepancies, improve accountability, and give the owner clear visibility into what happened in the store each day.

Employee Operations Side

The Employee Operations Side guides the assigned employee through the store’s opening or closing procedures.

Opening Procedures

The employee responsible for opening the store can be required to:

  • Open and count each register.
  • Record the amount of cash found in each register.
  • Confirm that the opening amount matches what the previous night’s closing employee reported.
  • Identify and document any discrepancy before the business day begins.
  • Take required pictures of the registers, receipts, reports, or computer screens showing the information used during the opening process.
  • Complete any additional opening checklist items established by the owner or manager.

This creates a documented handoff between the employee who closed the store and the employee opening the following day.

If the amounts do not match, Grace creates a record of the discrepancy instead of allowing the issue to disappear or remain undocumented.

Closing Procedures

At closing, the assigned employee is guided through the complete reconciliation of the day’s activity.

The closer can be required to:

  • Count each register.
  • Leave the correct predetermined amount of cash in each register for the following business day.
  • Record the total amount collected from each register.
  • Compare the register totals against the corresponding Z Tape or end-of-day register report.
  • Identify shortages, overages, or other discrepancies.
  • Add notes explaining any unusual activity or issue.
  • Record checks received during the day, when the store accepts checks.
  • Calculate the total cash and checks that should be deposited.
  • Prepare the bank deposit slip.
  • Enter the final amount of the deposit into Grace.
  • Take pictures of deposit slips, register receipts, Z Tapes, computer screens, and other required supporting documentation.

The closing report can also capture employee performance information for the day, including:

  • Sales generated by each employee.
  • Number of customers helped by each employee.
  • Other operational or performance measurements the owner chooses to track.

Once the closing process is completed, Grace creates a structured daily record that becomes available to the owner.

Owner Operations Side

The Owner Operations Side transforms the information collected during opening and closing into an operational and financial management dashboard.

Instead of relying on handwritten notes, text messages, register receipts, or asking employees what happened, the owner can see the store’s daily activity directly inside Grace.

The owner can review:

Daily store revenue.Register opening balances.Register closing balances.Cash overages or shortages.Z Tape totals.Expected deposits.Actual deposit amounts.Cash included in each deposit.Checks included in each deposit.Supporting pictures and documentation.Notes entered by opening or closing employees.Daily customer counts.Sales by employee.Customers helped by employee.Outstanding operational issues.Deposit history.

Deposit Tracking and Accountability

Grace Daily Operations does more than record that a deposit was prepared. It can also track whether the deposit was actually completed.

Every deposit can have its own record showing:

  • Date the deposit was created.
  • Amount expected to be deposited.
  • Employee who prepared the deposit.
  • Supporting deposit slip.
  • Date the deposit was taken to the bank.
  • Employee responsible for making the deposit.
  • Amount ultimately confirmed as deposited.
  • Any discrepancy or notes associated with the deposit.

The owner can quickly identify pending deposits and establish alerts when a deposit has not been completed within a specified number of days.

For example, an owner could choose to receive an alert when a deposit remains pending for more than one or two business days.

This is especially valuable for owners who are not physically present in the store every day or who operate multiple locations.

Bank Deposit Verification

Where supported through the store’s financial integrations, Grace can help the owner compare the deposits recorded by the store against deposits appearing in the store’s bank account.

This allows the owner to verify that:

  • The deposit was actually made.
  • The amount deposited matches the amount reported by the store.
  • Deposits were completed within the expected timeframe.
  • There are no unexplained missing or incorrect deposits.

Any mismatch can be identified for review instead of being discovered weeks or months later during accounting reconciliation.

Photo and Documentation Requirements

Accountability should not depend only on an employee typing a number into a system.

Grace Daily Operations can require supporting evidence during critical parts of the opening and closing process.

Depending on the owner’s settings, employees may be required to take pictures of:

Register cash counts.Register receipts.Z Tapes.End-of-day reports.Computer screens displaying required totals.Checks received.Completed deposit slips.Other store documentation.

These images become part of the permanent daily operations record.

If a question arises later, the owner can review exactly what was reported and the documentation that supported it.

Daily Operations History

Every completed opening and closing process creates a historical record for the store.

The owner can review previous days to identify:

Repeated register discrepancies.Cash shortages or overages.Deposit delays.Missing documentation.Employee performance trends.Changes in customer traffic.Changes in daily sales.Operational problems that may be becoming patterns.

Instead of looking at one isolated incident, Grace helps the owner understand what is happening over time.

Multi-Store Visibility

For owners operating multiple stores, Grace Daily Operations can become an important part of the centralized Grace Owner Dashboard.

The owner can review each store individually or compare selected locations to see:

Daily revenue.Customer traffic.Register discrepancies.Deposit amounts.Pending deposits.Deposit completion times.Employee sales activity.Operational exceptions.

This gives multi-store owners visibility into what is happening across their locations without having to physically visit every store or request separate reports from every manager.

Permissions and Accountability

Access to Grace Daily Operations is controlled by the owner.

Employees only see the opening, closing, reporting, or operational functions appropriate for their role.

Managers may receive additional permissions to review employee submissions, investigate discrepancies, verify deposits, correct records, or oversee daily store operations.

The owner maintains final visibility and control.

Every important action can be associated with the person who completed it, creating a clear record of who did what, when it was done, what was reported, and what supporting documentation was provided.

The Purpose of Grace Daily Operations

Grace Daily Operations turns the everyday process of opening the store, closing registers, preparing deposits, and reporting daily performance into a structured and accountable workflow.

It connects:

Opening → Register Verification → Daily Activity → Closing → Reconciliation → Deposit Preparation → Deposit Tracking → Bank Verification → Owner Reporting

The goal is not simply to create another checklist.

The goal is to give the store owner confidence that the store was opened correctly, the registers were reconciled correctly, the money that should have been deposited was actually deposited, discrepancies were documented, and the owner has a complete record of what happened in the store every single day.

Grace Daily Operations creates accountability from the first register count in the morning to the final confirmed bank deposit.
